Casual
Hey Marco, You are the best. I heard from Jen yesterday and she is already signed on as a client. I owe you a proper lunch at the very least. Seriously, thank you for thinking of me. Best, Sofia
Formal
Dear Kevin, Thank you for referring Hartfield & Associates to us. I met with their team last week, and I am pleased to say we will be moving forward together. A referral from someone with your professional standing carries real weight, and I will not forget your generosity. Best regards, Claire
Dear Ms. Torres, I wanted to take a moment to thank you for sending Meridian Design our way. It was a pleasure to work with you, and knowing you thought of us when a colleague needed our services is a compliment we take seriously. We look forward to continuing to earn that trust. Short & sweet
Hi Rebecca, Thank you for referring a new client to us. Your confidence in our work means a lot, and we will take good care of them. Best, The Goldfield Team
When someone sends business your way, a prompt and genuine thank-you strengthens the relationship and makes another referral more likely. The note does not need to be long, but it should be specific enough to show you noticed what they did.
Common questions
How soon should I send a referral thank-you?
Send it as soon as you know the referral came through, ideally within a day or two of making contact with the referred party. If the referral results in signed business, consider following up with a second, more specific note at that point.
Is it appropriate to offer a referral fee or gift in the thank-you note?
That depends on your industry and your relationship with the person. In some fields a referral fee is standard and expected; in others it can feel awkward. If you plan to offer something, be direct but low-key. A handwritten note plus a small token thanks them without making the exchange feel transactional.
