Heartfelt
Dear Ruth, These yellow tulips are a thank-you for twelve years of running the clinic office. You have trained four new hires, carried the patient files through two software changes, and still bring in lemon bars on Fridays. With love and thanks, Viola
Dear Quinn, I wanted to send a note to the front desk at Barrow and Lyle. Over a year of meetings about my mother's estate, you greeted me by name, kept a box of tissues by the conference room, and once carried my paperwork upstairs so I did not have to wait. It made a hard year easier to get through. With sincere thanks, Yvette
Dear Rosalind, This is our twentieth Administrative Professionals Day together. Thank you for knowing which clients take their coffee black, for the Rolodex you still keep in the second drawer, and for telling me when a letter I drafted was too blunt. You have been right about the letters every time. With gratitude, Uriel
Warm
Dear Rhea, Happy Administrative Professionals Day. Thank you for the way you ran my calendar this spring, especially the week of the Toronto trip, when you rebooked three flights and a hotel from your phone while I sat on the runway. I walked into every meeting prepared because you had the folder ready the night before. With thanks, Victor
Dear Teresa, Thank you for taking on the office move in February. You negotiated with the movers, labeled every box by desk number, and had the coffee machine working before anyone arrived on Monday. Twenty-two people walked onto a new floor and found their things exactly where they belonged. Thanks, Samir
Dear Yolanda, Happy Admin Day. Thank you for being the first voice our clients hear. Last month a caller told me she booked with us because you stayed on the line to walk her through the parking garage directions. The pothos on your desk is from all of us upstairs. Warmly, Zeke
Dear Ms. Rowan, Thank you for calling me the morning Wren left her inhaler at home. You kept her in the office with a library book until I got there, and she came home talking about the dinosaur sticker you gave her. Happy Administrative Professionals Day. With thanks, Stella
Dear Ulla, Happy Administrative Professionals Day from the whole engineering team. Thank you for fitting eleven calendars into one offsite, finding a venue with enough outlets for forty laptops, and ordering the gluten-free lunch before anyone reminded you. Every one of us signed this card, including the two people who forget birthdays. With thanks, The engineering team
Dear Wanda, Happy Administrative Professionals Day from all of us on the third floor. Thank you for remembering every birthday cake, ordering toner before we run out, and staying patient when someone loses a badge for the fourth time this year. From all of us, The third floor
Hi everyone, Today is Administrative Professionals Day, and I want to thank each of you on the admin team by name. Rafael, for rebuilding how we book travel. Sonia, for the new-hire checklist that cut onboarding from two weeks to four days. Tomas, for covering the front desk alone through December. Vera, for the budget tracker the whole department now uses. Lunch is booked at Marlowe's for 12:30 on Friday, and it is on me. Thank you, Silas
Dear Valerie, Happy Admin Day. Inside is a gift card to the bookstore on Main Street, since I have watched your lunch-break reading pile grow all year. Thank you for keeping the grant deadlines straight and for the reminder email in March that saved my application. Gratefully, Winston
Dear Tess, Happy first Admin Day with us. Eight months ago you inherited a filing cabinet nobody had opened since 2019, and now we can find any contract in thirty seconds. Thank you for asking good questions in your first week and for the shared-drive cleanup you took on without being asked. Thanks, Wes
Dear Willa, Thank you for the books, the payroll, the phones and the holiday party. In a six-person shop you do four jobs, and you did all of them through our busiest spring yet. Your raise starts with the May 1 paycheck, and this card is the thank-you that goes with it. Gratefully, Quincy
Funny
Dear Zoe, Happy Administrative Professionals Day. Thank you for finding my glasses, my car keys and, on one occasion, my car. The garage has five levels and you knew it was on level four. Please accept this card and my standing apology. Gratefully, Yusuf
Casual
Hi Yara, Happy Admin Day from three time zones away. Thank you for sorting my inbox each morning before I wake up in Denver, and for flagging the vendor invoice that was about to be paid twice. The coffee gift card in your email is for the early shift. Thanks so much, Reese
Dear Zara, Lunch on Wednesday is our treat, anywhere you like, and yes, that includes the sushi place you keep mentioning. Thank you for handling the Monday rush at the front desk and for calming down the delivery driver who showed up at the wrong building last week. See you at noon, Tariq
Dear Rory, Our office is marking Administrative Professionals Week, so expect bagels on Monday and an early start to your Friday afternoon. Thank you for running the conference room schedule, handling three facilities requests a day, and remembering everyone's lunch order for the quarterly meeting. Warm thanks, Xavier
Happy Admin Day, Vivian! Thank you for untangling my expense report last week. Coffee is on me this afternoon.
Formal
Dear Sabrina, Thank you for a year of keeping the executive office on track. You prepared the packet for all four board meetings, caught the wrong date on the shareholder letter before it went to print, and handled the seating chart for the investor dinner with more tact than I would have managed. I am grateful to work alongside you. Sincerely, Quentin
Dear Mrs. Quintero, Thank you for the way you run the front office at Willow Creek Elementary. You know every student's name, which parent picks up on Thursdays, and where the spare ice packs are. When the fire alarm went off during lunch in March, you had attendance sheets in every teacher's hands within five minutes. With appreciation, Raquel Sutton, Principal
Dear front desk team, Thank you for keeping the waiting room calm through flu season. You rescheduled more than forty appointments the week the power went out, handled the insurance calls I dread, and remembered which patients need the chair by the door. Patients mention you by name on their surveys. Gratefully, Dr. Ximena Ruiz
Dear Selena, Thank you for your work on the Calloway appeal. You proofread a 60-page brief twice, built the exhibit binders overnight, and filed it with eleven minutes to spare. The partners heard about it from me on Monday morning. Sincerely, Wade
Dear Thea, Thank you for booking 140 trips for our sales team this year. When the Chicago conference hotel lost our room block, you found rooms for nine people at 10 p.m. and had the confirmations in our inboxes before midnight. With thanks, Vaughn
Short & sweet
Happy Admin Day. Thank you for catching the typos in my slides before anyone else sees them.
Happy Administrative Professionals Day to the person who knows where every form lives.
Thank you for the friendly voice on the phone and the candy jar on the desk. Happy Admin Day.
Happy Admin Week to the team that books the rooms, orders the supplies and answers our questions twice.
Thank you for turning my scribbled notes into the board report. Happy Administrative Professionals Day.
For Administrative Professionals Day, write three or four sentences that name something specific the person handled this year (the office move, the rebooked flights, the board packet) and what it made possible for you. Sign it yourself, and give it to them that morning. In 2027 the day falls on Wednesday, April 21.
When is Administrative Professionals Day?
Administrative Professionals Day is the Wednesday of the last full week of April. In 2027 that is Wednesday, April 21. Some offices mark the whole week as Administrative Professionals Week, with something small each day, so check what your workplace does before you plan a single card. If the person is out that day, the card can wait until they are back. A note on Thursday is still welcome.
What to write in an Admin Day card
Start with the greeting, then thank them for one or two concrete things. The details an admin handles are easy to describe because they are so practical: the toner ordered before it ran out, the client they calmed down, the deadline they caught. End with what that work let you or the team do, and sign your name. Skip lines about how the office would fall apart without them. A real example says the same thing better.
Messages from a boss to an assistant
A boss’s note carries weight because it comes from the person whose day the assistant shapes. Pick a moment from this year that only the two of you would recognize, like the night they rebuilt your travel plans from a delayed flight. If the assistant’s work deserves recognition beyond a card, say so to their manager or in their review as well. Our boss thank-you wording covers notes going the other direction.
Office managers, receptionists, school secretaries and front desks
Each of these roles has its own details worth naming. For an office manager, think of the projects with a start and finish: the move, the holiday party, the new vendor. For a receptionist or medical front desk, think of how they treat the people who walk in. For a school secretary, a parent’s note about one specific morning (a forgotten lunch, a nosebleed, a late pickup) is likely to be kept. Clients can write too. A short card to a firm’s front desk from someone they helped is an unexpected kind of thanks.
Group cards and team messages
When a team signs a card, ask each person to write one line about something the admin did for them before they sign. If you are a manager writing to a whole admin team by email, thank each person by name for a different thing, so nobody’s contribution gets folded into a general thank-you. For broader staff recognition at other times of year, see our employee appreciation wording.
Adding a gift, lunch or flowers
A gift is optional. If you do give one, let the card mention why you chose it: the bookstore gift card for the person who reads at lunch, the sushi place they keep bringing up. Taking the person to lunch works well when the card says when and where. For ideas, our employee appreciation gift guide and corporate thank-you gifts have options at different budgets.
Short lines, emails and chat messages
A short line works on a gift tag, a sticky note on a desk, or in a chat message to a remote assistant. Keep one specific detail in it even when it is a single sentence. For an email to a group, use the person’s name and a concrete thank-you for each, and save the longer handwritten note for the person you work with most closely.
Common questions
When is Administrative Professionals Day in 2027?
It falls on the Wednesday of the last full week of April. In 2027 that is Wednesday, April 21. Some offices mark the whole week as Administrative Professionals Week.
What do you write in an Administrative Professionals Day card?
Name one or two specific things the person handled this year and what they made possible, such as the office move they ran or the trip they rebooked. Three or four sentences is enough, signed by you rather than by the company.
Should a boss give an assistant a gift on Admin Day?
A card on its own is fine. If you add a gift, a gift card, a lunch out or flowers all work, and the note can say why you chose it. Keep the gift modest and match it to what you know they like.
What is a good short message for Administrative Professionals Day?
Pair the greeting with one specific thank-you, for example Happy Admin Day, and thank you for catching the typos in my slides before anyone else sees them. A specific detail keeps a short line from sounding like a form letter.
Who should be thanked on Administrative Professionals Day?
Anyone in an office support role, including assistants, executive assistants, office managers, receptionists, school secretaries, medical front desk staff and legal assistants. Clients and parents can send a note too, not only bosses.
How should a team sign a group Admin Day card?
Have each person add a line about one thing the admin did for them, then their name. A card full of short specific memories reads better than a page of signatures under a printed message.
Is an email or chat message enough for Admin Day?
For a remote assistant or an admin team spread across offices, yes. If you work in the same building, a handwritten card left on the desk that morning is worth the extra five minutes.
